What we build for race week

Race week turns every ballroom, rooftop, suite, and pool deck within reach of the circuit into event space. For the agencies and brand teams booking those spaces, it's corporate event production in Las Vegas on the city's hardest week. Here's what we build.

Hospitality suite builds

Staging, scenery, and finish work inside private suites and viewing spaces: platform risers, bar and lounge builds, and branded walls, with screens, sound, and lighting specced and integrated by our audio-visual production team for race week. Scenic and AV arrive on one truck, install on one schedule, and answer to one supervisor.

Brand activations and pop-up environments

Pop-up lounges, product showcases, and street-level brand environments, fabricated in our own shop as custom scenery on CNC and laser equipment. Because we build in-house, a design change in October doesn't wait on a third-party shop. It goes on our machines the same week.

Branded backdrops and photo moments

Step and repeats, press walls, and dimensional photo moments sized to the space you actually have, not the space in the deck. Our step and repeat backdrops install in hours once artwork is approved, which makes them one of the few race-week builds that can still book late.

Custom staging and scenic

DJ risers, presentation platforms, and elevated viewing decks built on our stage rental inventory, finished with custom staging and scenic treatment to match the room. ADA ramps come standard on staging builds.

Built for race week's compressed timeline

Race week is a logistics problem before it's a production problem. Road closures around the circuit go in weeks ahead of the race. Security perimeters tighten daily. Dock time and freight elevators get rationed, and every vendor in the city is loading in through the same narrow windows, many of them overnight only.

We plan builds for those windows instead of fighting them. Expert Staging Productions uses prefabricated modular systems to keep on-site install time short, the difference between making and missing a race week access window. Builds are fabricated and pre-fit in our Las Vegas shop, broken down into cased modules, and reassembled on-site fast.

The crew side is built the same way. Our installers are W-2 employees, background-checked and OSHA-certified, with a supervisor on every job, including the 2 a.m. calls. We're fully insured, and we've built for F1 race week before, so credential requirements, escort rules, and closure timing aren't surprises to us. When the schedule moves, and during race week it will, we adjust the plan the same night.

One call covers the whole build: staging, scenery, AV, backdrops, and the crew to install all of it. You're not coordinating 5 vendors through 5 separate credential lists in a locked-down city.

Planning race week from out of town

Most race-week events are planned from somewhere else: agencies in LA and New York, brand teams flying in for the week, planners in Phoenix or San Diego with a Las Vegas activation on the calendar. We're set up for exactly that.

You approve 3D renderings before anyone books a flight, typically within 2 to 3 business days of scoping the build. We receive and stage your shipments at our warehouse, handle delivery through race-week closures, and give you one Las Vegas point of contact who owns the build from load-in to strike. Your crew on the ground in Vegas, and it already knows which roads are closed.

What a race week quote includes

Race week builds are quoted to scope, not off a rate card. Your quote itemizes labor, fabrication, delivery and strike, and insurance, so you can see exactly what drives the number. To move fast, have your dates, venue or suite location, headcount, and scope ready. We respond to quote requests the same business day, and custom builds for race week should be locked by late summer.

Questions planners ask

How far in advance should we book event production for F1 race week?
Custom builds for F1 race week in Las Vegas should be locked by late summer. Race week compresses every vendor's calendar at once, and fabrication slots go first. Smaller installs like backdrops and platform staging can sometimes book closer in, subject to crew availability, so it's worth a call either way. More booking questions are answered on our FAQ page.
Can you install overnight during race week?
Yes. Overnight installs are standard practice during F1 race week in Las Vegas, when venue access is often limited to narrow late-night windows. Our crews work around the clock, every overnight call runs with a supervisor on-site, and our prefabricated modular builds are designed to go in fast once the window opens.
Do you work with out-of-state agencies and brand teams?
Yes. Most of our race-week clients are agencies and brand teams planning from LA, New York, Phoenix, or elsewhere. We send 3D renderings for approval before anyone books a flight, receive and stage shipments at our Las Vegas warehouse, and provide one local point of contact from load-in to strike.
What do you build for F1 race week?
Hospitality suite staging and scenery, brand activations and pop-up environments, branded backdrops and photo moments, custom staging, and after-party builds. Everything is designed and fabricated in-house in our Las Vegas shop and installed by our own W-2 crews. If it needs to exist for one week in November, we can build it.
How much does race week event production cost?
Every race week build is quoted to scope, and the main cost drivers are fabrication complexity, install window, and crew hours. Your quote itemizes labor, fabrication, delivery and strike, and insurance, so you can see exactly what you're paying for. Send your dates, venue, headcount, and scope and we'll respond the same business day.
