Las Vegas event production FAQ
These are the questions Las Vegas event planners ask Expert Staging Productions most: quotes, lead times, insurance, crew, and how fast we can build. Every answer is real. W-2 employees, fully insured crews, in-house fabrication, and modular systems built for tight load-in windows.

General questions
How fast can you set up and strike an event?
Setup time depends on the size of the build and the venue's access window, and we confirm it when we scope the job. Prefabricated modular systems, our own W-2 crew, and a supervisor on every job keep setups fast and on schedule. Strike runs the same way: fast, clean, and on the venue's schedule.
What is a full-service event production company?
A full-service event production company designs, builds, installs, and strikes the physical and technical elements of an event under one contract. At Expert Staging Productions that means 3D renderings, in-house fabrication, staging, scenery, AV, and crew, all from one company with one point of contact.
What's the difference between an event planner and an event production company?
An event planner manages logistics, vendors, and coordination. An event production company builds and executes the physical and technical side: staging, scenery, AV, and the crew to install it all. Expert Staging Productions is the production side, and for many planners the only build vendor they need.
Can you handle an event start to finish: concept, fabrication, install, and strike?
Yes. We design in 3D, fabricate in our own shop on CNC and laser equipment, install with our own W-2 crew, support the show, and strike when it wraps. One company, one point of contact from first call to load-out. You can see how each stage works on our process page.
What liability insurance do you carry, and is it enough for Strip venues?
Expert Staging Productions is fully insured, including general liability coverage. Most Las Vegas venues require a $1 million minimum, and high-profile Strip properties often ask for more; we clear both. Certificates of insurance are part of every quote.
Are you licensed and insured to work at major Las Vegas venues?
Yes. We're licensed and insured in Clark County and the State of Nevada, and we've built for events at major Strip resorts and convention venues, including Wynn Las Vegas. Venue compliance paperwork, insurance certificates, and safety documentation are handled before load-in, not scrambled on show day.
Are your crew background-checked and OSHA-certified?
Yes. Every crew member is a W-2 employee, background-checked and OSHA-certified, with a supervisor on every job. That's company policy, not a case-by-case option.
Do you offer 24/7 or same-day emergency production?
Yes. Our emergency line is answered 24/7, and because our crew and shop are in Las Vegas we can move on same-day requests. If your build vendor fell through or something failed the night before doors open, call 702-483-9250.
What happens if something breaks on-site during the event?
We fix it, usually on the spot. There's a supervisor on every job with the authority to make decisions, and because we fabricate in-house we can repair or rebuild a piece the same day instead of waiting on a vendor callback. Clients tell us that's saved the day more than once.
Pricing and quotes
How do I get a quote, and what should I have ready?
Send us your date, venue, expected headcount, and a rough scope, and we'll respond the same business day. Don't worry if some details are still moving; we quote real events, not perfect ones. Get a quote or call 702-483-9250.
What should an event production quote include?
A real quote is itemized: labor, fabrication, delivery, install, strike, and insurance certificates, each as its own line. If a quote arrives as one vague lump sum, you can't see what you're paying for or compare it fairly. Ours are straightforward and honest. We don't play games.
How far in advance should I book event production?
Simple staging can usually be booked a few weeks out. Custom fabrication runs 2 to 4 weeks, and large custom builds are best planned 2 to 3 months ahead. CES and F1 week book earliest, so if your event lands on either, call as soon as you have dates.
Planning a Las Vegas event from out of town
Can we plan everything remotely if we're not in Las Vegas?
Yes, and most of our clients do. You'll approve a 3D rendering of the build before anything is fabricated, work with one local point of contact, and get photo and video check-ins as your event comes together. See how remote planning works on our process page.
Do we need to fly in for a site walkthrough?
No. We walk the venue for you. With 40+ years of combined experience in Las Vegas venues, our team already knows most of the rooms, load-in docks, and rigging points on and off the Strip, and we report back with photos and measurements.
Can you receive and store our shipments before the event?
Yes. Graphics, products, and sponsor materials can ship to our Las Vegas shop, and we deliver them to the venue with the build. That spares out-of-town teams the freight timing headaches and venue receiving fees.
Who is our point of contact on the ground in Vegas?
You get one dedicated contact from quote through strike, and on show day there's a supervisor on every job. You won't juggle vendors or wonder who to call. One number the whole way through.
What areas do you serve beyond Las Vegas?
The Las Vegas Valley is home base, and we regularly produce events in Southern California and Arizona. For the right project, we travel nationally. Wherever the show goes, we can go with it.
Stage rental and drape
What does it cost to rent a stage in Las Vegas?
Stage rental is scoped to your event; stage size and height, ADA ramps, drape, and how tight the load-in window is drive the number. Every quote itemizes labor, fabrication, delivery, strike, and insurance, and we respond the same business day. Have your date, venue, and rough footprint ready, then start on our stage rental page.
What's included with stage rental: delivery, setup, and breakdown?
Everything. Our own W-2 crew delivers, installs, and strikes every stage we rent; there's no rental-yard pickup and no self-assembly. Full details are on the stage rental page.
Do you offer ADA ramps, and what's the deck load rating?
ADA-compliant ramps are standard on our staging builds. Our stage decks are rated to 4,000 lbs per 4x8 deck section. Specs and configurations are on our stage rental in Las Vegas page.
Trade show and convention booths
How much does a trade show booth cost?
Booth cost is scoped to the build: size, materials, graphics, AV, and install complexity all drive the number. Our quotes break out labor, fabrication, delivery, install, strike, and insurance so you can see exactly where the money goes. Send your show, booth size, and dates for a same-business-day quote, starting on our custom trade show booths page.
Can you build and install a booth for CES or other Las Vegas conventions?
Yes. Our shop and W-2 crew are local, so there's no cross-country freight and no waiting on a national exhibit house's schedule, and our installs are tuned to LVCC move-in windows. More on our custom trade show booths page.
Can you store our booth between shows?
Yes. We receive your booth's freight directly and store it at our Las Vegas warehouse between shows, so you're not paying for outside storage or scrambling to find space between events. When the next show comes up, we pull it, refresh graphics or components as needed, and deliver it to the floor. Ask about warehousing when you request a quote on our custom trade show booths page.
Corporate event production
Why hire one production company instead of juggling separate vendors?
One contact, one contract, and no finger-pointing when timelines shift. Staging, scenery, AV, and crew all come from the same shop, so quality stays consistent and nothing falls between vendors. See how we run it on the corporate event production page.
What does a full-service production company handle for a corporate event?
Staging, custom scenery, lighting and video, crew, and the after-party, from concept through teardown. You bring the agenda; we build everything the audience sees. The full scope is on our corporate event production in Las Vegas page.
Lighting, video walls, and AV
What does an LED video wall cost for an event?
Video walls are scoped to the event; wall size, resolution, rigging versus ground support, and operating hours drive the number. Every quote itemizes labor, equipment, delivery, install, strike, and insurance, with a response the same business day. Bring your venue, dates, and content plan, then start on the AV production page.
Can you supply lighting, video, and AV as one package?
Yes. Lighting, video walls, and sound come as one package, from the same company building the staging and scenery they sit on. One contact for all of it; details on the audio visual production page.
Pool deck stages
What is a pool deck stage?
A pool deck stage is a load-bearing platform built over an existing pool, turning the water into usable event space for a stage, dance floor, or lounge without draining the pool. Expert Staging Productions is one of the few Las Vegas companies that designs and builds these in-house. The full build process is on our pool staging page.
Can you build a stage over a pool without damaging it?
Yes. Expert Staging Productions builds pool deck stages on a non-invasive support structure that never anchors into the pool shell, with protective materials at every contact point on the deck and coping. The install is done by our own insured W-2 crew under a supervisor, and the pool is inspected with the venue before and after the build. See how it works on our pool staging page.
How much weight can a pool stage hold?
Our pool deck stages are engineered to 100 lbs per square foot, which supports a full crowd, staging, and equipment with margin. Every build is engineered for its specific pool and load plan. Specs are on the pool staging in Las Vegas page.
Custom scenery and DJ booths
What is custom scenery fabrication?
Custom scenery fabrication is designing and building one-of-a-kind set pieces, from branded DJ booths to full stage sets, instead of pulling generic rental stock. Our process runs concept, 3D rendering, CNC and laser fabrication, and install, all under one roof. Recent builds are on the custom scenery page.
How long does custom fabrication take?
Standard custom fabrication runs 2 to 4 weeks, and rush builds are possible because the shop is ours. Renderings come first: you'll see the piece in 3D within 2 to 3 business days, with one revision round included. Lead times by project type are on the custom scenery page.
Photo ops and step and repeat backdrops
What is a step and repeat backdrop?
A step and repeat is a photo backdrop printed with logos in a repeating pattern, so every press and guest photo carries the brand no matter where people stand. It's the standard photo moment at red carpets, galas, and product launches. The full explainer, with sizes and design specs, is on our step and repeat backdrop page.
What does a step and repeat cost in Las Vegas?
It's scoped to your event: backdrop size, printing, framing, and whether we install and strike it drive the number. We quote the installed, full-service version with labor, fabrication, delivery, and insurance itemized, and we respond the same business day. Standard sizes run 8x10, 8x12, 8x16, and 8x20 feet; start on the backdrop page.
How far ahead should we order a custom backdrop?
About a week for a standard custom-printed backdrop, and rush turnaround is available because printing and fabrication happen in-house. Order earlier during CES and F1 week, when everything in town books up. Timing details are on the step and repeat page.
Event staffing and crew
What's the difference between W-2 and 1099 event crews, and why should I care?
When a crew is 1099 day labor, the workers are independent contractors, so if someone gets hurt on-site or doesn't show up, the liability and the scramble often land on you and the venue. W-2 employees work for the production company, which carries the insurance, the training, and the accountability. Every Expert Staging Productions crew member is a W-2 employee, background-checked and OSHA-certified, fully insured, with a supervisor on every job. That's the difference you're paying for, and it's why venues care who your labor provider is.
What's the difference between a staffing agency and a production company's crew?
A staffing agency sends whoever is available; a production company's crew works alongside its own shop and knows the gear it's installing. Our stagehands load in equipment we built, wired, and tested ourselves. The full W-2 story is on the event staffing page.
What does event staffing cost in Las Vegas?
Crew is quoted per event: call length, crew size, skill mix, and schedule drive the number, and a supervisor is always included rather than billed as an extra. Quotes are itemized, insurance certificates included, and you'll hear back the same business day. Send your dates, venue, and call times to start; details on the event staffing in Las Vegas page.
After-party production
Can you turn a conference room into an after-party the same night?
Yes, that's a standard job for us. Our rapid-deployment approach and modular systems let us flip a general session into a party while your guests are at dinner. See how on the after-party production page.
What does after-party production include?
A custom DJ booth, lighting, staging, and a photo moment, produced as one package with one quote instead of four vendors. We build the room, run the show, and strike it before the venue's morning turnover. The full scope is on the after-party production page.
